Summary
01At a glance
- Internal only. MOIS English is used only inside the School. No outside organisation uses it or receives its data.
- What is kept: your school email, name, class, study settings, and a record of each flashcard answer (which word, your answer, when).
- Why: to run your study sessions, schedule your reviews, and let your teachers support you.
- Who can see it: you, your teachers and the app administrators. Other students cannot.
- What never happens: no passwords stored, no advertising, no tracking or analytics, no selling or sharing of data, no use of your data to train AI.
- How long: while you are at the School. It is deleted at the end of the school year in which you leave.
- Your copy: download everything the app keeps about you at any time from Settings → Your data.

02About this policy
This policy explains how the School handles personal information in MOIS English (“the App”), the School’s internal vocabulary-learning app.
The App is for the School’s students and staff only. Nobody outside the School can sign in, and the School does not share App data with any outside party.
This policy works together with the School’s general privacy rules and follows Japan’s Act on the Protection of Personal Information (APPI).

The App does not collect passwords, photos, audio, location, contacts, payment details, health information, or information about guardians. It uses no advertising, analytics or tracking tools, and its fonts and icons are served by the App itself.
05What the information is used for
- Signing you in and running your study sessions.
- Scheduling which words you review and when.
- Showing you your progress.
- Letting teachers follow progress, see who needs help, and adjust a student’s class, levels, steps or study mode.
- Managing classes and accounts.
- Improving vocabulary teaching, using class-level and school-level patterns.
- Keeping the App secure and fixing problems.
The App’s progress figures are learning aids. They are not grades or official school records. The information is used for nothing else.

Every teacher can see every student, so that any teacher can support any student. Staff must use student information only for the purposes above (see the Terms of Use).
07No outside sharing
App data stays within the School. It is not given, sold or shown to any outside person or organisation. It is not used for advertising, and it is not used to train AI.
The only exception is where the law requires disclosure, for example a lawful request from a public authority, or where it is needed to protect someone’s life or safety.
Hosting. The App runs in the School’s own Microsoft Azure account, which is part of the School’s Microsoft 365 and Azure agreement. Sign-in uses the School’s existing Microsoft accounts. Microsoft provides the servers and storage under the School’s contract. It does not use the data for its own purposes. The App’s source code is kept on GitHub; no student or staff data is stored there.
08How the information is protected
- Sign-in only with a school Microsoft account on the School’s email domain. The App never sees or stores passwords.
- Role checks: every page and action checks the user’s role on the server before showing or changing anything.
- The database can be reached only by the App’s server. Its key is never sent to a browser.
- Only what each screen needs: browsers receive only the data needed for the screen being shown.
- Encryption: all connections use HTTPS, and stored data is encrypted by Azure.
- Abuse protection: usage limits apply, and the App cannot be embedded in other websites.
- Maintenance: security updates are applied regularly, and access and settings are reviewed by the ICT Manager.
- Staff rules: staff follow the Terms of Use and the data-handling guidance in the staff Help.
09How long it is kept

Removing an account deletes it and all of its learning records immediately. Backup copies disappear within 7 days. Before the clean-up, staff may export leavers’ records if the School keeps an archive.
Your rights
10Your rights
You, or your parent or guardian, can ask the ICT Manager to:
- see the information the App holds about you, and receive a copy;
- correct information that is wrong;
- stop using or delete your information where it is no longer needed or is being used in a way this policy does not allow; or
- explain how your information is used.
The ICT Manager will confirm who is asking (for students, through your school account) and will reply within 14 days. There is no charge.
The App needs your account to work. If you ask for deletion while you are still studying, the ICT Manager and your teacher will talk with you about the options first.
11Students and guardians
Most users are under 18. The School tells students and their parents or guardians about this policy through its usual channels, and a parent or guardian may make any request above on a student’s behalf.

12If something goes wrong
If App data is lost, leaked or accessed by someone who should not have it, the ICT Manager will:
- contain the problem and investigate;
- tell the School’s leadership, and the people affected where appropriate;
- make any report the law requires (under APPI, to the Personal Information Protection Commission); and
- take steps to stop it happening again.
Anyone who notices a possible problem should tell the ICT Manager straight away.
14Changes to this policy
The School may update this policy when the App or school practice changes. Important changes will be announced in the App and through the School’s usual channels before they take effect. The version is shown at the top of this page.

- 校内専用です。MOIS English は学校の中だけで使われます。学校の外の組織が使ったり、データを受け取ったりすることはありません。
- 保存される情報：学校のメールアドレス、名前、クラス、学習設定、そして各フラッシュカードの回答の記録（どの単語に、どう答えたか、いつ答えたか）。
- 目的：学習セッションの実施、復習の予定作成、先生による学習支援のため。
- 見ることができる人：あなた、先生、アプリの管理者。ほかの生徒は見ることができません。
- 行わないこと：パスワードの保存、広告、トラッキングや分析ツール、データの販売や共有、AI の学習へのデータ利用は一切行いません。
- 保存期間：在学中。卒業・転出した年度の年度末に削除されます。
- データのコピー：アプリが保存しているあなたの情報は、Settings → Your data からいつでもダウンロードできます。

02このポリシーについて
このポリシーは、学校の校内用単語学習アプリ MOIS English（以下「本アプリ」）で、学校が個人情報をどのように取り扱うかを説明するものです。
本アプリは学校の生徒と教職員だけが利用できます。学校の外の人はサインインできず、学校は本アプリのデータを外部と共有しません。
このポリシーは学校の個人情報に関する規程とあわせて適用され、個人情報の保護に関する法律（個人情報保護法）に従います。

本アプリは、パスワード、写真、音声、位置情報、連絡先、支払い情報、健康に関する情報、保護者の情報を収集しません。広告、分析、トラッキングのツールは使用せず、フォントやアイコンは本アプリ自身から配信しています。
05利用目的
- サインインと学習セッションの実施。
- どの単語をいつ復習するかの予定作成。
- あなた自身への進捗の表示。
- 先生が進捗を把握し、支援が必要な生徒を見つけ、生徒のクラス、Level、Step、学習モードを調整するため。
- クラスとアカウントの管理。
- クラス単位・学校単位の傾向を使った単語指導の改善。
- 本アプリの安全の確保と不具合の修正。
本アプリの進捗の数値は学習の補助です。成績や学校の公式な記録ではありません。上記以外の目的には使用しません。

どの先生でもどの生徒も支援できるよう、すべての先生がすべての生徒を見ることができます。教職員は生徒の情報を上記の目的にのみ使用しなければなりません（利用規約を参照）。
07外部への提供は行いません
本アプリのデータは学校の中にとどまります。学校の外の人や組織に提供、販売、開示することはありません。広告や AI の学習にも使用しません。
例外は、法令により開示が求められる場合（公的機関からの法令に基づく要請など）や、人の生命・安全を守るために必要な場合に限られます。
ホスティング：本アプリは、学校の Microsoft 365 および Azure の契約に含まれる、学校自身の Microsoft Azure アカウントで動いています。サインインには学校の既存の Microsoft アカウントを使います。Microsoft は学校との契約に基づいてサーバーとストレージを提供しており、データを自社の目的には使用しません。本アプリのソースコードは GitHub に保管されていますが、生徒や教職員のデータは保存されていません。
08安全管理措置
- サインイン：学校のメールドメインの Microsoft アカウントでのみサインインできます。本アプリがパスワードを見たり保存したりすることはありません。
- 役割の確認：すべてのページと操作で、表示や変更の前にサーバー側で利用者の役割を確認します。
- データベース：本アプリのサーバーからのみ接続できます。接続キーがブラウザに送られることはありません。
- 必要な情報のみ：ブラウザには、表示中の画面に必要なデータだけが送られます。
- 暗号化：すべての通信は HTTPS で行われ、保存データは Azure によって暗号化されます。
- 不正利用の防止：利用回数の制限があり、ほかのウェブサイトに埋め込むことはできません。
- 保守：セキュリティ更新を定期的に適用し、ICT マネージャーがアクセス権と設定を確認します。
- 教職員のルール：教職員は利用規約と教職員用ヘルプのデータ取扱いの案内に従います。

アカウントを削除すると、そのアカウントとすべての学習記録がすぐに削除されます。バックアップ内のコピーは7日以内に消えます。学校が記録を保管する場合、教職員は年度末の整理の前に卒業・転出する生徒の記録をエクスポートすることがあります。
あなたの権利
10あなたの権利
あなた（または保護者）は、ICT マネージャーに次のことを依頼できます。
- 本アプリが保存しているあなたの情報を確認し、コピーを受け取ること。
- 誤っている情報を訂正すること。
- 不要になった情報や、このポリシーで認められていない方法で使われている情報の利用停止または削除。
- 情報がどのように使われているかの説明。
ICT マネージャーは依頼者の本人確認（生徒の場合は学校のアカウントで確認）を行い、14日以内に回答します。費用はかかりません。
本アプリの利用にはアカウントが必要です。在学中に削除を希望する場合は、まず ICT マネージャーと先生が選択肢についてあなたと話し合います。
11生徒と保護者の皆さまへ
利用者の多くは18歳未満です。学校はこのポリシーを通常の連絡方法で生徒と保護者にお知らせします。保護者は、生徒に代わって上記の依頼を行うことができます。
その他
12問題が起きた場合
本アプリのデータの紛失・漏えい、または権限のない人によるアクセスがあった場合、ICT マネージャーは次の対応を行います。
- 被害の拡大を防ぎ、調査する。
- 学校の管理職に報告し、必要に応じて影響を受けた人に知らせる。
- 法令で求められる報告を行う（個人情報保護法に基づく個人情報保護委員会への報告）。
- 再発防止策を講じる。
問題に気づいた人は、すぐに ICT マネージャーに知らせてください。
14ポリシーの変更
本アプリや学校の運用が変わった場合、学校はこのポリシーを更新することがあります。重要な変更は、適用前に本アプリと学校の通常の連絡方法でお知らせします。バージョンはこのページの上部に表示されています。
